Front Office Medical Receptionist

 SUMMARY

Under the supervision of the Clinical Coordinator, the Medical Receptionist greets, instructs, and directs patients and visitors. She/he answers telephones when necessary and serves as a liaison between patients and medical support.

ESSENTIAL DUTIES/RESPONSIBILITIES

Greet patients and visitors in a prompt, courteous, and helpful manner.

Establish and maintain effective working relationships with patients, employees, and the public.   

Screen visitors (i.e. pharmaceutical representative and salesmen), respond to routine requests for information, services, and/or direct visitors to appropriate staff.

Check in patients, verify, and update patient demographics and insurance information in the medical charts and computer system.

Answer telephone in a professional and courteous manner.  Route calls to appropriate staff, schedule and cancel patient appointments.

Collect co-payments and payments at time of visit.

Type correspondence as needed.

Sort and distribute mail and other correspondence.

Sort and file materials correctly by alpha and numeric systems.

Assist in tracking and ordering supplies.

Fill in at other clinic sites as needed.

Attend in-services and general staff meetings as necessary.

Other related duties and tasks as assigned by supervisor.

Respond promptly and with caring actions to patients and employees.  Acknowledge psychosocial, spiritual and cultural beliefs and honor these beliefs.

Maintain professional working relationships with all levels of staff, clients and the public.

Be part of a team and cooperate in accomplishing department goals and objectives

SAFETY

Maintain current knowledge of policies and procedures as they relate to safe work practices.

Follow all safety procedures and report unsafe conditions.

Use appropriate body mechanics to ensure an injury free environment.

Be familiar with location of nearest fire extinguisher and emergency exits.

Follow all infection control procedures including blood-borne pathogen protocols

HIPAA/COMPLIANCE

Maintain privacy of all patient, employee and volunteer information and access such information only on a need to know basis for business purposes.

Comply with all regulations regarding corporate integrity and security obligations. Report unethical; fraudulent or unlawful behavior or activity.

MINIMUM NECESSARY

Technical Staff - Staff who provide patient care at the request of direct healthcare provider. Management involved in administrative over site of patient care, billing and operations.

Summary Data Access – Access to summary data with treatment or diagnostic codes as needed to function. Staff in this category should confine the use of protected health information to the absolute minimum required and should not access or read full medical records.

QUALIFICATIONS

Skills: Knowledge of business office procedures.  Knowledge of grammar, spelling, and punctuation;  computer experience; greeting patients and answering the telephone in a pleasant, polite, and helpful manner.  Ability to speak clearly and concisely; sort and file materials correctly by alpha and numeric systems; establish and maintain effective working relationships with patients, employees and the public. Bilingual English/Spanish preferred.

Education/Experience: High School Diploma or GED.  One year work experience, preferably in a medical office setting.  Word Processing and Computer experience.  Knowledge of medical terminology desired.   

Physical and Mental Requirements: Normal office environment.  See, hear, talk, walk, sit for long periods of time, reach, bend, stoop, lift up to 25 lbs. Repetitive hand movement; use and view PC; use calculator; telephone, operate fax, and copy machine.  Read and write; time management, interpersonal, organizational, and basic math skills; prioritize, and maintain confidentiality.
